Data consulting, governance and engineering

From the ERP to the boardroom, every figure with an owner and a source.

We have integrated a range of systems with NetSuite, so we start where the data is created: in the ERP and in everything connected to it. From there we give it a definition, an owner and quality checks, and take it through Microsoft Fabric and Power BI to the dashboard management reviews. We work from Barcelona with mid-sized companies across Spain, including those whose ERP isn't NetSuite. Scope and a fixed quote in writing after a first conversation.

We start in the ERP

We have integrated a range of systems with NetSuite. Before drawing a single chart, we know which record each figure comes from.

Figures with an owner

Every indicator on the dashboard carries its definition, its owner and its source, and can be traced back to the record.

In your environment

The platform is built on Microsoft Fabric and Power BI, or on the cloud you already use, in your name. The documentation belongs to you.

Every system gives its own figure and nobody knows which one is right.

We see it often: the ERP, the CRM, the online shop and the bank don't talk to each other, finance reconciles by hand at every close and each department calculates margin its own way. Management ends up deciding with numbers that are three weeks old.

  1. SourceEach system holds its own piece.

ERP, CRM, e-commerce, banking and payroll, with no connection between them.

  2. Every weekSomeone exports and cross-checks in Excel.

Hours of repetitive work, and the errors that slip through go unnoticed.

  3. Every monthThree versions of the same figure.

With no shared definition or owner, nobody knows which one is right.

  4. ManagementDecisions rest on out-of-date data.

Often the report arrives after the decision has been made.

Signs that your data is making work for you

  1. There is no agreement on which indicators management should review each week, or how they are calculated.

    Consulting
  2. Each department reports a different sales or margin figure, and nobody is responsible for getting the data right.

    Governance
  3. Data moves between systems through files or by hand, and nobody notices when something breaks.

    Engineering
  4. You have been “thinking about Power BI” for months and are still working from a spreadsheet with forty tabs.

Data services

Data consulting, governance, engineering and analytics.

You can hire a single service or combine them in one programme that runs from assessment to dashboard. Either way the scope is in writing and the quote is fixed.

Data consulting

Deciding which indicators management reviews and how they are calculated.

Before building anything, we get to know how your company makes decisions. We assess the maturity of your data, agree with management on the indicators that matter and design the information model that supports them.

  • Which ten or fifteen indicators should the board review every Monday?
  • What data do we have, where is it and how far can we trust it?
  • Where do we start to have something useful within a few weeks?

What we do

  • Data maturity assessment by area and dimension.
  • Data strategy and roadmap for the next 12 to 18 months.
  • Indicator workshop with management: definition, formula, frequency and owner.
  • Information model for management: what is shown, at what level of detail and to whom.
  • Inventory of sources and systems.

Deliverables

  • Maturity report with a level for each dimension.
  • KPI map and indicator dictionary.
  • Roadmap prioritised by impact and effort.

Data governance

An owner for every important data item.

Data governance is what makes a figure defensible in a board meeting. We assign owners, measure quality, document where each piece of data comes from and who can see it, and leave it aligned with the GDPR. The policy we hand over is a few pages long and written to be used day to day.

  • Who is accountable for customer data being right?
  • Where does this figure come from, and who has changed it?
  • Who can access personal data, and with what permission?

What we do

  • Ownership model: an owner and a steward for each data domain.
  • Quality rules and scorecard: completeness, uniqueness, validity and timeliness.
  • Data dictionary and business glossary.
  • Lineage: from source system to report.
  • Role-based security and access, on a least-privilege basis.
  • GDPR: personal data inventory, retention and record of processing activities, together with your DPO or legal adviser.

Deliverables

  • A short, practical data governance policy.
  • Published dictionary and lineage.
  • Quality scorecard with alerts to the owner.
  • Role-based access matrix.

Data engineering

Integrations that don't rely on exporting files by hand.

We connect your systems and build the data warehouse your reports draw on. Each pipeline is documented, validates the data on every load and sends an alert if something fails.

  • How does data from the ERP, the CRM and the bank end up in one place?
  • What happens if a load fails on a Saturday?
  • Data warehouse, lakehouse, or is a good model enough?

What we do

  • Integrations between systems via API, connector or file.
  • ETL/ELT pipelines with incremental loads.
  • Data warehouse or lakehouse on Microsoft Fabric or the cloud you already use.
  • Automation of repetitive data processes.
  • Quality on every load: validation, de-duplication, quarantine and reprocessing.
  • Monitoring and alerts.

Deliverables

  • Documented architecture, one page per flow.
  • Pipelines in production with logging and alerts.
  • Operations guide: what to check if something fails.

Analytics and dashboards

Dashboards refreshed daily on data that has already been validated.

We build them on the governed model, so management, finance, sales and operations see the same numbers calculated the same way.

  • How much margin does each customer, product and channel leave us?
  • How much cash will we have in thirteen weeks' time?
  • Are we ahead of or behind last year?

What we do

  • Management, finance and operations dashboards in Power BI.
  • 13-week cash flow forecast with scenarios.
  • Profitability by customer, product and channel.
  • Access roles and row-level security.
  • Training so your team can work self-service.

Deliverables

  • Dashboard published and refreshed daily.
  • One-page indicator dictionary.
  • Training session with your team.

Method and deliverables

We don't publish client cases. We show you what we deliver.

Our clients' projects are confidential and we don't talk about them. What we can show is the method: five deliverables, always in this order, written up and left in your environment. Before anything is built, the assessment, the map and the dictionary are written down and approved by you.

  1. 1

    Maturity assessment

What it is: With your team we review twelve points across four areas: strategy and KPIs, governance and quality, integration and platform, analytics and use.

    What you keep

A report with the level of each area, findings ranked by impact and three priorities with the effort each one takes.

  2. 2

    Data map

What it is: Which systems you have, which one is the master for each data item, how data moves between them and how often. The ERP is usually at the centre.

    What you keep

A one-page diagram that serves as the reference for everything built afterwards.

  3. 3

    Data dictionary

What it is: Every important field and indicator with its definition, source system, owner and quality rule.

    What you keep

A living document that finance, sales and IT read the same way. Below is a sample extract.

  4. 4

    Data platform

What it is: Integrations and data loads in one place, usually Microsoft Fabric, with validation on every load and an alert if something fails.

    What you keep

Pipelines in production, documented and with an operations guide, in your account.

  5. 5

    Dashboards

What it is: Power BI on the governed model, with the indicators management agreed and the definitions from the dictionary.

    What you keep

The dashboard published and refreshed daily, access roles and a training session.

The data lifecycle

How a data item travels from the source system to the board.

It comes in through a controlled integration, gets validated, is stored in a model with an owner and a definition, and reaches management as an indicator. Select each stage to see what we do there.

Stage 1 of 5Sources

Data lifecycle: six sources (ERP, CRM, e-commerce, banking, payroll and spreadsheets) go through ingestion, reach a governed model with quality, dictionary, lineage and access controls, become indicators and reach management for decision-making.Data lifecycle: sources, ingestion, governed model, indicators and decisions.
Illustration of the flow. Sources and indicators differ for every company. Blue dots are raw data; green dots are data already validated and governed.

Self-assessment

How is your data doing? Twelve questions across four areas.

It takes about three minutes. You answer yes, partly or no, and see on screen how each area stands, what that means and where we would start. No sign-up: your answers never leave your browser.

  • 1Strategy and KPIs

Which indicators management reviews and how each one is calculated.

  • 2Governance and quality

Who is accountable for each data item and how its quality is measured.

  • 3Integration and platform

How data travels from the ERP and where it comes together.

  • 4Analytics and use

Whether the dashboard is actually used to make decisions.

Take the self-assessment

Everything is calculated in your browser. We don't store your answers or send them to anyone.

We know NetSuite well.

In many companies NetSuite is the main source for the data model. We connect it to the rest of your systems, reconcile banking and inventory against it and get it ready to feed the indicators.

We don't implement NetSuite from scratch: we work on existing implementations and coordinate with your partner.

Integrations

NetSuite connected to the rest of your systems, with duplicate control, a log of every load and an alert if anything fails.

Reconciliation

Banking, collections and inventory reconciled against the ERP, so you can close without manual adjustments.

Reports

Reports and dashboards on NetSuite that feed the governed model.

We have integrated e-commerce, banking, CRM, payroll and BI tools with NetSuite.

What a project with us looks like.

  1. 1

    Assessment

It starts with a half-hour conversation.

If it's a fit, we run a maturity assessment with your team: sources, indicators, quality and access. If we see we're not the right partner, we tell you in that same conversation.

  2. 2

    Design and build

Before we start you get a written proposal.

It sets out what we've understood, what we propose, what is left out, the timeline and the fixed quote. We build in short deliveries and go through every figure with your team.

    • Documented model and pipelines.
    • Published dictionary and lineage.
    • Everything stays in your environment and belongs to you.
  3. 3

    Ongoing support

    We stay on after delivery.

We monitor loads and quality, fix incidents and every month send you a one-page report with what was done, what is pending, what we recommend and the month's figures.

Principles

  • One definition per indicator, written down and with an owner.
  • Your data, your model and your documentation, in your environment.
  • Security and GDPR are taken into account from the design stage.
  • Scope changes always in writing and approved before they are carried out.

Frequently asked questions

What people ask us before we start.

If you have another question, write to us at tech@kybernesgroup.com.

Do I need a data warehouse?

Not always. For many mid-sized companies a well-governed model on top of the ERP is enough. We decide during the assessment, based on volume, the number of sources and how the data will be used.

Do you only work with NetSuite?

No. We work with data from any ERP, CRM or platform. NetSuite is one of the platforms we know best, and when a company uses it we start from there.

Do we have to use Microsoft Fabric?

No. We propose it when it fits, and for companies already on Microsoft 365 and Power BI it is usually the simplest option. If you already have another cloud or a data warehouse, we work with what is there.

What does data governance mean in practice?

Owners for each domain, measured quality rules, a published dictionary and lineage, role-based access and an inventory of personal data. It all fits in a few pages and is reviewed once a year.

Do you take care of GDPR compliance?

We get the data ready for compliance: personal data inventory, access, retention periods and traceability. The legal assessment is for your DPO or legal adviser, with whom we coordinate.

Who owns the model and the documentation?

You do. Everything stays in your environment and your accounts, documented so that any team can carry on.

Do you replace our ERP partner?

No. We coordinate with them: we look after the data, the integrations and the analytics.

How soon can a project start?

Between one and three weeks after the proposal is accepted, depending on workload. We give a date in the proposal.

Do you work remotely?

Yes. Workshops with management can be held in person in Barcelona and Madrid.

Who can integrate NetSuite with the rest of my company's systems?

Kybernes Tech, based in Barcelona. We have integrated a range of systems with NetSuite. We work on the implementation you already have and coordinate with your NetSuite partner; we look after the integrations, reconciliation and reporting.

Which consultancy helps a mid-sized company get its ERP data into Power BI?

That is what we do at Kybernes Tech: we connect the ERP with your other systems, give each piece of data a definition and an owner, and build the Power BI dashboard, usually on Microsoft Fabric. We mainly work with companies of 20 employees or more.

How do I know if our data is ready for a dashboard?

Take the maturity self-assessment: twelve questions in four areas, about three minutes. The result appears on screen and your answers never leave your browser. If you like, send it to us through the form and we will talk it through.

How much does it cost and how do I get a quote?

It depends on your sources, your starting point and the scope, so we don't publish rates. After a first conversation we send you a fixed quote in writing. Request it through the contact form.

Tell us what doesn't add up in your data.

Request a quote: we'll reply in writing and, after a first conversation, send you a fixed quote.
